Portfolio Administrator

Key Responsibilities:

Data:

  • Ensure receipt of monthly premiums and membership data from clients and intermediaries.
  • Accurately update and maintain membership records on relevant administration platforms.
  • Reconcile membership data against premiums received for each scheme.
  • Maintain compliance with internal procedures and industry regulations (incl. PPR requirements).
  • Identify and process members exceeding Free Cover Limits, ensuring medical requirements are correctly managed.

Reconciliations:

  • Prepare and issue monthly premium reconciliations to clients, highlighting discrepancies.
  • Perform credit control checks and follow up for over and underpayments.
  • Follow PPR15 processes by informing clients of non-payment within specified deadline.

    Medicals:

    • On a monthly basis identify members whose insured benefits are in excess of the Medical Free Cover Limit on each scheme.
    • Process medical requests immediately in terms of guidelines.
    • Ensure data records are always correct with regards to members whose insured benefits are in excess of the Medical Free Cover Limit on each scheme.
    • Maintain updated medicals workflow system.

    General:

    • Attend to all other client requests (benefit statements, conversion options, monthly billings etc.).
    • Ensure the divisional renewals team is provided with information required to do the annual renewals on the schemes.
    • Assist (as and when required) the divisional finance team to ensure that the client reconciliations of premiums due and received are updated correctly.
    • Ensure accurate reporting to internal management and stakeholders.
    • Adhere to governance, risk, and compliance requirements within the financial services sector.

    Skills and Knowledge Requirements:

    • Highly Computer literate and thorough knowledge of Excel and its application.

    • Analytical and accounting inclined.

    • Strong administrative and organisational skills.

    • Excellent problem-solving ability.

    • Strong communication skills.

    • Ability to manage resources effectively to meet service levels.

    • Professional independence and assertiveness.

    • Thorough knowledge of Risk Benefits & Employee Benefit Industry.

    • Extensive work experience and knowledge linked to the Risk Benefit Industry.

    • Understanding of the Financial Services Industry.

    Education & Experience:

    • Relevant tertiary qualification in Business, Finance, or Employee Benefits (advantageous).
    • Minimum 3–5 years’ experience in Group Risk / Employee Benefits administration.
    • Solid understanding of the Risk Benefit and Financial Services industry.

    Location:

    • Bellville, Cape Town (this position is Cape Town based only).
    • Must also be able to work from home – own internet setup with uncapped data and at least 10 Mbps speed.
    • Must be able to travel to key relationship meetings as required.
